In the current economy your patients are looking much more closely at the details of your practice. No more “Blind Faith” just because you are a Doctor. Back in the day, patients came in, you told them what they needed and they would schedule their appointment. That just doesn’t happen anymore.
Now your prospective patients go right to Google and search for the exact type of dentist they want. They research procedures, they ask questions. They are well informed consumers and active participants in their health care. If you don’t provide what they are looking for, they’ll simply find it elsewhere.
How do you make certain your office stands out? Thriving dental practices create relationships with their patients. They care about them; they know them, they know their families and hobbies. You probably know the famous quote: “Patients don’t care how much you know until they know how much you care.” It’s more true and relevant than ever.
Your Secret Weapon
One of the most successful ways to create and develop relationships in your practice is to hire a treatment coordinator.
A dental treatment coordinator is someone in your office that actually specializes in creating relationships with your patients. Their primary objective is to develop a trusting relationship while helping your patients accomplish their treatment goals. Offices that employ a treatment coordinator have a higher case acceptance percentage as well as a happier patient base.
Your treatment coordinator should have these attributes:
- The ability to “bond” with patients quickly
- Knowledge of all aspects of dentistry
- Be an expert in Financial Planning and Insurance Benefits
- Be a good “listener”
- Be a “cheerleader” for the Doctor and the team
Your treatment coordinator is the patients main contact in your office. She is the first person your new patient’s talk to when they come in for their initial appointment, and is the person who continues to work with them throughout their treatment.
A treatment coordinator also handles patients of record that begin extensive treatment plans. She is present during the Initial Exam and the Consultation – she facilitates the treatment from financial’s to treatment completion.
She also educates the patients so they are able to make informed decisions. Further, she supports the doctor’s treatment plan with information: brochures, video presentations etc… Once the treatment decision has been made, the treatment coordinator confirms that your patient made the right decision. That the treatment plan they chose was the best one and that they will be thrilled with the results. She is the practice cheerleader, always uplifting the doctor and staff members.
She coordinates appointments, lab cases, financial’
s, medical releases, sedation paperwork – everything needed to make this patients visit the best appointment possible. Investing in a good treatment coordinator is one of the smartest moves you can make for your practice. You will be able to relax, knowing that nothing will fall through the cracks, and your stress level will go down dramatically – in fact, it’ll go down in direct proportion to the satisfaction of your patients – how’s that for win-win!

Linda thank you for your comment! I have worked with many dental practices and I have to say, in the practices that do actually have a treatment coordinator, that practice is always more successful. People feel the connection and actually want to come to the dentist!

Hi Jan,
It is so important to have a clear structure and making the newest treatments available for patients.
A long time ago I was a doctor’s assistant and worked together with my dad in his practice in Germany. We have been one of the first who offered appointments, to avoid these endless waiting times in a waiting area. It was very innovative at that time.
Namaste,
Leelja
